Customers come to pick up or deliveries are scheduled. - Administrative Assistant works directly with president and manager to provide administrative support to a staff of truck drivers, construction workers and a mechanic. - The Administrative Assistant represents the company to the retail public, vendors and government agencies. - Indirectly, the Administrative Assistant's work contributes to the work of the comptroller by executing foundational financial tasks. - Administratively, it is a Microsoft Office Suite environment. Duties: Open and close office Greet and assist visitors in a friendly and professional manner on the phone and in person While helping customers, simultaneously access the website conversion site to convert customer measurements into cubic feet & calculate cost estimates. Schedule delivery of materials: interview customers about delivery sites for drivers Determine if a delivery fee is applicable and calculate cost - inform customer Answer and direct incoming phone calls and emails in a courteous manner Process mail Assist with proposals, obtain permits and invoicing Post payments Enter bills for payment Invoice running tickets Enter tech time on excel spreadsheet for job costing Run statements Complete monthly Department of Transportation (DOT) mileage tax report filing Interface with various government offices Use VHF radio if needed to contact drivers on the road Close out end of day till Requirements Intermediate skill level in Microsoft Office Suite: Word, Excel, Outlook Knowledge of basic bookkeeping principles Familiarity with QuickBooks volume in cubic yards Professional and friendly communication skills Reliability and punctuality skills; time management, organization, and accountability Problem-solving skills Ability to adapt to changing priorities Discretion when handling confidential information Strive for accuracy - be curious, ask questions Good sense for organization
